The Role
The Studio Ops & Resource Coordinator is responsible for all office operations as well as scheduling and onboarding freelance talent. This position is the hub of our studio so it requires flexibility, organization, self motivation, and the ability to take initiative in a busy working environment.
Role: Studio Ops & Resource Coordinator
Reports To: Head of Production
Location : San Francisco, CA
Contract : Full Time (40 hours/ week) remote & onsite
Responsibilities
- Manage scheduling and onboarding freelance talent; track forms, legal documents and invoices; maintain freelancer contact database.
- In charge of everyday office operations including organization, ordering equipment & software licenses, restocking kitchen, scheduling cleaning service and overall appearance.
- Liaise with UK accounting team – reconciling credit card statements and receipts; tracking company expenses.
- Create and submit expense reports.
- Schedule meetings and manage studio calendar.
- Be the point-of-contact for any studio improvements.
- Greet clients and guests; ensure the conference room is setup for meetings and the studio is presentable.
- Collaborate with Systems Administrator on IT needs.
- Organize internal events including the annual summer & holiday events, Show & Tells, Lunch & Learns, and weekly team building.
- Look for growth opportunities (new artists, software, community events, etc.).
- Arrange and book travel as needed.
- Organize holiday staff & client gifts.
- Perform Marketing/PR support and other studio related projects as needed.
Skills
- 1 -2 years of office experience preferred, ideally in an agency or creative studio.
- Passion for working in the creative industry.
- Ability to work in a busy, team-oriented environment.
- Strong communication and writing skills.
- Excellent organization and attention to detail, Proactivity and flexibility are key.
- Excellent computer skills, including knowledge of Mac, Google Suite and Microsoft Office.
